Position Overview:
As an Accounting Payroll Specialist, youโll manage end-to-end payroll processes for [X] employees, assure timely and true compensation, compliance with tax laws, and resolution of payroll discrepancies. Youโll cooperate closely with HR and Finance to streamline workflows and maintain employee reliance through transparency and imprecision.
ย Key Responsibilities Accounting Payroll Specialist:
ย Payroll Processing & Compliance:
Prepare bi-weekly/monthly payroll for [X] employees (hourly, salaried, contract workers) based in multiple states.
– Work out and retain federal/state tax, benefits deductions (health insurance, 401(k), HSA), garnishments, and PTO accruals.
– Maintain conformity with FLSA, IRS, SSA, and state labor laws, such as extra time practices and minimum wage laws.
– Get quarterly tax returns (941s), year-end W-2/1099s prepared and filed, and assist with audits.
ย Reporting & Reconciliation:
Account reconcile payroll, settle discrepancies, and coordinate with the Finance department to post general ledger appropriately.
– Create management reports on payroll (spending on labor, departmental budget, trends in turnover).
– Get current on payroll law developments (e.g., tax implications of telecommuting, most recent state leave laws).
ย Employee Support:
– Handle employee payroll questions (tax withholdings, direct deposit problems, lost checks) in a professional and timely manner.
– Train employees on self-service portals (e.g., ADP, Workday) to view pay stubs and tax alerts.
– Work with HR to hire new employees, lay off employees, and distribute leave-of-absence pay.
ย System & Process Improvement:
– Manage and update payroll records in systems such as ADP Workforce Now, Paychex, or QuickBooks.
– Pinpoint automation opportunities (e.g., linking time-tracking systems with payroll systems).
– Facilitate adoption of payroll software updates or new technology.
ย Record-Keeping:
– Keep confidential payroll records as per data privacy legislation (GDPR, CCPA where relevant).
– Keep payroll records for 7+ years by federal/state law.
ย Qualifications:
– Education: Bachelor degree in Finance, Accounting, or business-related field (preferable).
– Experience: 3+ years payroll processing experience, preferably in multi-state settings.
– Certifications: CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) desired.
– Technical Skills: Knowledge of payroll software (ADP, Workday, UltiPro), Excel (VLOOKUPs, pivot tables), and HRIS.
– Soft Skills: Close attention to detail, analytical abilities, confidentiality, and ability to work under tight deadlines.
– Knowledge: Up-to-date knowledge of federal/state tax codes, wage and hour legislation, and benefit administration.
